Group Administrative Assistant

October 2019- Current- Group  Administrative Assistant for RF & Intelligent Systems, Grid Communications & Security. I Provide back up support for for 33 people as well as the Division Administration Assistant and other EEID Group Administrative Assistants. I supervise calendars for all by scheduling appointments, meetings, interviews and tours with Teams Microsoft Office Outlook, Zoom and Doodle poll as well as managing information flow and communication with external contacts. I Prepared internal correspondence, reports, and presentation materials according to ORNL guidelines. Aided in the preparation of referred publications by ensuring the appropriate format is used and the articles are grammatically correct. Enter tracking of publications per ORNL procedure. Coordinated and prepare domestic and international travel requests, including reservations in Concur and conference registration, transportation, expense settlements, and visas, according to ORNL guidelines planned and coordinated on and off-site meetings, workshops, conferences, and related services. Processed subcontract submissions. Gather SOW, budget information, deadlines, etc. Ordered and tracked office supplies, hardware, software, lab supplies and equipment, for my groups as well as others. Assist in managing meetings, including establishing priorities and resolving scheduling vehicles, and other resources. Exercise discretions with confidential matters. Often assisted with special projects and assignments. Prepared PAS request for all ORNL visitors, tours, students, interviewees, from around the world. Built, implemented, and maintained filing systems and databases as required. Actively safeguard, protected, and maintained PII, by adhering to ORNL guidelines and protocol for access and storage of PII data. Obtain P-card holder for the division, entering purchasing requisitions/orders, and balancing statement monthly. I have the role for ORNL Time Tracker entry for EEID and send out emails and reminders to be sure time is entered accurately and on time for each week, and end of business quarter as well as holiday early entries. I am a P-card buyer for EEID division in helping get the materials and supplies needed that cannot be bought in our ORNL Buy system.

I have 30 years of administrative experience and 7 years of management experience.

Expert in Microsoft Office Suite, Outlook, Teams, Excel, Powerpoint, word, Acrobat Adobe Creative Suite, Photoshop, Expeditor, E-pay, NexGen, The Pulse, Dash, Touch Scan, OAE and ABR Hearing instrumentation machines. 

Excellent planning and organizational skills. Ability and willingness to work effectively as a member of a team as well as independently . Excellent demonstrated interpersonal, oral and written communication skills. Excellent compliance, documentation, and organizational skills. P-card holder for EEID division since 2019. Proficient with ORNL Administrative systems including PAS, TRAVX, CONCUR, ORNL BUY, E-PROP, SAP, EAR, PALS, TIMETRACKER, AND ORNL Business systems. Excellent human relations, critical thinking as well as strong ability to develop and manage professional relationships with staff and customers and sponsors.
